Harvey Opticals Limited, trading as Harvey Optical, is a registered data controller. We collect and process personal data for the purposes of healthcare and marketing.

Our legal bases for processing personal data for healthcare purposes, including appointment reminders, include public task or legitimate interests.

When we provide services under the NHS General Optical Services contract (such as a sight test funded by the NHS), our legal basis for processing personal data in respect of that service is public task.

Otherwise our legal basis is legitimate interests.

Our condition for processing special category data is the provision of health or social care.

We only process personal data for marketing purposes with your consent or to meet a legitimate interest. This means we can tell you about eye care products and services that may be relevant to you. If you do not want us to process your personal data for marketing purposes, please let us know and we will stop.

The data we may collect and process

The personal data that we may collect and process includes:
  • Your name
  • Your date of birth
  • Your contact telephone numbers (including mobile)
  • Your e-mail and postal address
  • Your general and ocular (eye) health history, your family medical and ocular (eye) health history, and any relevant signs or symptoms you tell us about
  • Details of medicines, spectacles and contact lenses prescribed for you
  • Details of examinations and other healthcare checks and treatments we provide
  • Information relevant to your continued care from other people who care for you or know you well, such as other health professionals and relatives
  • Any other information voluntarily provided to us by you from time to time

How we use this information

We may use your personal information for the purposes of:
  • Your ongoing eyecare
  • Letting you know when your next appointment is due and reminding you to book an appointment if you’ve not had one for a while
  • Providing our products and services to you
  • Notifying you about changes to our products and services
  • Letting you know of relevant products or services that we believe would be of interest to you
  • Obtaining feedback on services and products that we have provided to you
  • Responding to queries from you
  • Processing and retaining personal data relating to your credit/debit card/bank and order details to enable the fulfilment of your orders and to deal with any queries or refunds of payment
  • Carrying out security checks to protect against fraudulent transactions at or following any purchase or order you make to prevent and detect criminal activities
  • Responding to and addressing any claims made against us
  • Maintaining records for tax, compliance with laws, defence of claims and other corporate purposes
  • Managing and administrating insurance claims

How we store your information

We process your personal data in strict confidence. We keep your personal data securely in our filing and electronic systems. Patient records are only accessible to the healthcare professionals working at the practice and by those under their supervision. If we collect Direct Debits from you, will notify you in advance which company will be processed these payments. Any third-party company is only permitted to process your data for the specified purposes and in accordance with our instructions and your consent. Personal information will be retained by us for as long as is reasonably necessary (or as defined under applicable healthcare laws and regulations) to provide products and services, including aftercare services, and to maintain records as required to satisfy tax and other legal or regulatory requirements, as well as to protect and defend against claims. We will usually keep any personal data we hold about you for ten years after our last contact with you before we delete it. This is the period recommended as good practice by the College of Optometrists. If we collected the data when you were aged under 18 we will keep it until your 25th birthday, in line with NHS requirements. In exceptional cases we may need to retain personal data for a longer period and will explain our reasons for doing so on request.

How and when we may share your personal information

Where necessary we may disclose your information to health care professionals including the NHS. We may also pass information to external agencies and organisations, including the police, for the prevention and detection of fraud and criminal activity. Should any claim be made, we may pass your personal information to our insurers and if our business is wholly or partially transferred to a third party, your personal information may be one of the transferred assets.

In the course of processing your personal data we may share it with:
  • The healthcare professionals working at this practice and those under their supervision.
  • Healthcare professionals and those under their supervision at other optical practices, but only if you have specifically asked us to pass your personal data (such as your prescription) to them.
  • Your GP, ophthalmologists and other healthcare providers and commissioners, and suppliers of optical appliances or similar products, in connection with your ongoing healthcare treatment.
  • Software providers for our patient record and invoicing systems, and financial institutions, so that we can keep patient records up to date and arrange payment for services provided to you.
  • External agencies and organisations, including the police and other law enforcement agencies, for the prevention and detection of fraud (including fraudulent transactions) and criminal activity. These external agencies may check the information we give them against public and private databases and may keep a record of such checks to use in future security checks.
  • In the event that we sell or buy any business or assets, we may disclose personal information about customers to the prospective seller or buyer of such business or assets.
  • If we or substantially all of our assets are acquired by a third party, personal information held by us about customers will be one of the transferred assets.
  • We may pass certain personal information to your employer, where you have been referred to us as a corporate eyecare customer.
  • We may pass your personal information to third parties in order to comply with any legal obligation (including court orders), or to enforce or apply our website Terms and conditions of purchase, Terms and conditions of use of website or other agreements we have with you or to protect our rights, property and safety or those of our clients, employees or other third parties.

Your rights

  • You have legal rights in respect of the personal data we hold about you. The Information Commissioner’s Office (ICO) has published guidance on the full range of rights. The rights that are most relevant to the way in which we use your personal data include:
  • The right to be informed about how we use personal data – this privacy notice gives that information.
  • The right to object: if you object to us processing your data for marketing purposes, or for healthcare purposes where our legal basis is legitimate interests (see ‘Collection of your Personal Information’, above), we will then stop doing so, unless we are processing the data in respect of a legal claim or can otherwise show that our legitimate interest in processing the data overrides your rights and interests.
  • The right of access: if you ask us for the personal data we hold about you we will provide it within a month, free of charge (unless we have already provided it to you, in which case we may have to charge you the administrative cost of providing it again).
  • The right to rectification: if you ask us to correct personal data about you that is inaccurate or incomplete, we will do so within a month (unless we need longer, in which case we will discuss this with you).
  • The right to erasure: also known as the ‘right to be forgotten’. If you ask us to delete your personal data, we will do so if there is no compelling reason to continue processing the data. We will not usually delete healthcare data before our usual time limit (see ‘How and when we may share your Personal Information’ above) where we have a duty to keep accurate records – for example, to comply with a legal obligation, or in connection with a legal claim. If you ask us to delete such data we will discuss this with you.

How we protect your personal information

We use a variety of security technologies and procedures to help protect your personal information from unauthorised access and use. As effective as modern security practices are, no physical or electronic security system is entirely secure. We cannot guarantee the complete security of our database, nor can we guarantee that information you supply will not be intercepted while being transmitted to us over the internet. Any transmission is at your own risk. In the event that there is an interception of your personal information or unauthorised access or use of our database, we will not be liable or responsible for any resulting misuse of your personal information. Harvey Optical

The business was set up by Mr Harvey initially in his garage in 1967. After outgrowing his garage, he moved to a unit in Saxby street then a larger unit in Victoria Passage. The business relocated to its current premises on Nottingham Road in 1978 and has grown from strength to strength. Small incremental additions and improvement were made to the business, but the biggest change took place in November 2014 when the building underwent a full refurbishment including an extension at the front to create the shopfront windows. This necessitated a closure for 6 weeks with the grand re-opening on 7th December 2014. The entire interior was refurbished with a total change of the layout. The new premises continue to impress all that visit it, particularly those who remember the pre-refurbished practice. We aim to continue to invest in providing the highest level of patient care by bringing in new services and latest advances in technology.

 

In addition to refurbishment, the practice now carries a much bigger range of spectacle frames, tripling the number of frames on display. Several new services are now offered at the practice including a full contact lens service, dry eye clinic, myopia control. The practice offers an express service for spectacle glazing and fitting for all types of frames including rimless eyewear. We are one of the few practices in the UK that is capable of fitting prescription lenses to rimless frames within an hour.

Terry

Terry is our optical assistant and glazing technician. He joined Harvey optical in 1970 as his first job after leaving school and has remained ever since making him one of the most experienced optical technicians in the UK. He was initially employed, but took over the business after Mr Harvey passed away in 1997. During that time, he was trained in all aspects of spectacle lens and spectacle frame manufacture and repair. He also trained up on rimless spectacle glazing and is extremely proficient in this skill. Terry has remained loyal to the business even after handing over the day-to-day running and management. He is still available to assist customers with his great skill in spectacle fitting and dispensing as well as repairs and adjustments.

Paul

Paul is the main glazing technician. He is based in the spectacle glazing workshop and operates the specialist machinery fitting prescription lenses to the spectacle frames. He too joined Harveys as a school leaver and apart from a short break in the early 90s when he was working with one of our sister companies as a specialist glazing technician fitting glass lenses. He re-joined Harveys in 1997 and has been with us ever since. Paul’s attention to detail and passion for accuracy ensures that the standard of spectacles produced at Harveys is second to none.


Pat

Pat has been with Harveys since 2002. Prior to working for us, she worked for the prestigious jeweller, Pearce and Sons who she was worked for until it closed down in 2002.

Pat is our main receptionist and optical assistant. She is our “front-of-house” staff member so is often the first person you get to see. She is also responsible for most of the admin and back-office duties. Her role involves most of the notifications and therefore you will at some point have had a phone call from her either to remind you of your eye test booking, or to advise you that your glasses are ready.

Khadijah

Khadijah is our optical assistant. She currently works only on our busiest day – Saturday as she is pursuing her A-level studies at college. She joined us in 2016 after she impressed us during a very successful work experience placement. Her role involves contacting patients due eye examinations as well as dealing with patients on their visit to the practice.

 

Yahya

Yahya studies optometry at City University, London where he graduated with a first class honours degree. He then joined the optometry department at University Hospitals Coventry and Warwickshire for his pre-registration training. Here he dealt with complex clinical cases in the specialist optometry clinics at the hospital. This involved dealing with patients of all age groups; from the young infants to the elderly with various eye conditions.

Upon gaining full registration with the General Optical Council, Yahya was awarded the College of Optometrists’ prize for highest overall marks in the Professional Qualifying examinations. This was the highest accolade to be awarded at the college graduation, and added to the long list of awards gained whilst at university.

Yahya has worked for all the main high street opticians over the years. He also spent 5 years as full time lead optometrist at Ultralase where his role involved providing consultations to people interested in laser eye surgery, as well as post-surgical aftercare. Here he developed his interest in corneal conditions and dry eye management.

Yahya took the decision to leave his post at Ultralase to take over Harvey Optical in 2011. This provided him an opportunity to bring excellence in eyecare to the local community. The practice has grown from strength to strength since his takeover including a comprehensive refurbishment in 2014.

Yahya is married with three children.  He enjoys keeping up-to-date with current affairs and politics.  During his spare time he loves swimming and keeping fit.
